Supporter Conference Logistics

Following are some basic instructions and information regarding distribution of materials and shipping instructions for those of you who would like to bring materials to the conference.

Door Prizes: We will be giving out door prizes at the Friday night awards banquet. We would greatly appreciate and acknowledge the contribution from your organization of items such as cameras, printers, and software packages for this event. If your organization could contribute items, please let Cynthia Lanius know.

Exhibits: The Tapia Program includes an exhibit area where supporters and sponsors will provide materials about their respective institutions for conference attendees. Based upon level of support, you will receive a shared table.

  1. You can set up your exhibit/table anytime on Wednesday, April 1 between 10am and 6pm, and you need to plan to dismantle your booth by 2pm on Saturday, April 4. The exhibit tables will be in the Ballroom Level and the Lower Level of the Marriott, and there will be signs indicating your exhibit location when you arrive.
     
  2. The exhibit area will be officially open Wednesday from 8pm-10pm; Thursday and Friday from 8:30am - 6pm; and Saturday from 8:30am-12noon. We ask that you have people in your booth during the breaks, which are Thursday and Friday at 9:30-10:00am, 2:30-3pm, and 5:30-6pm.
     
  3. We have developed a passport program to encourage our attendees, especially the students, to visit your exhibit. As you register for the conference (registration will be open 7:30am -7pm on Wednesday in the East Registration Area), you will be given instructions and a stamp to use for the attendees' "passports" as they visit your exhibit.
     
  4. If you have items in your exhibit that require protection (t-shirts and other giveaways, for example), you will be able to lock these in a secure office each night and retrieve them every morning.
     
  5. All Shipments MUST arrive between 3/23/09 and 3/30/09. Please print and use this shipping label -- Tapia_Shipping_Instr_09.doc. Use address exactly as illustrated.
    1. Number the boxes using ( 1 of X number) even if only (1 of 1)
       
    2. Send the method of shipping to ewa@cteusa.com and copy clanius@bellsouth.net. Please include the carrier, tracking number, number of boxes and the expected arrival date. Also include telephone contact information.
       
    3. Please use a traceable carrier. US mail can not be traced.
       
    4. All shipments MUST arrive between 3/23/09 and 3/30/09.
