We are looking forward to your participation in the Tapia 2017 Conference. We are planning for 1200 attendees at Tapia this year. Please carefully review the sponsor logistics and documents that you need to submit to successfully participate in the conference.

September 13 - Deadline for Conference Bag Items to be Delivered to Freeman
Please use your exhibitor passes and register your team for the conference by Monday, August 1st.
Please book your hotel rooms by Tuesday, August 1st. While we do not anticipate the need for an overflow hotel we suggest that you book your rooms early to insure that you are housed in the conference hotel. The Tapia Conference room rate is $199 per night + tax.

Student Poster Session Competition Judges & Doctoral Consortium Reviewers
Conference sponsors are invited to volunteer as judges for the Student Poster Competition on Thursday, September 21st and Reviewers for the Doctoral Consortium on Saturday, September 23rd. You may sign up for these volunteer opportunities when you register for the conference. Poster Chairs and the Doctoral Consortium Chairs will follow up with you in August regarding your assignments and roles. Volunteers should be individuals who are familiar with technical research and technical topics.
We encourage sponsors to use the networking lunches on Thursday and Friday as an informal opportunity to connect with conference attendees. We suggest that you have participants meet you in Centennial Foyer prior to finding a lunch table. We also encourage you to use our conference app to let attendees know at which table you are sitting (they will be numbered) during lunch.
The 2017 Resume Database access for sponsors begins on the following days:

Logo for the Conference Printed Program and Website
All high resolution vector images (EPS or PNG) from Platinum, Gold and Silver sponsors must be received by July 10th to be included in the printed program. Please email Kim McLeod a high resolution vector image of your logo if you do not see it listed here or if you need to update it.

Exhibit Booths & Shipping
Our designated Exhibit Contractor for Tapia 2017 is Freeman. Please carefully review the exhibitor kit for details regarding shipping, exhibit orders, electrical orders, etc. Discount pricing with Freeman is available till August 30th. Sponsors are responsible for all drayage/incoming and outgoing shipping costs. Wifi in the exhibit area will be provided by the conference. You may download all order forms, shipping labels and/or place orders online. Interview booth assignments and Exhibit hall map will be posted on or before August 14th.

Platinum, Gold, Silver (Industry, Lab, Non-Profit/Academic Plan I) In are welcome to include collateral and/or promotional item(s) in the Tapia 2017 Conference bags. Please do not include items that may leak or are breakable (i.e. hand sanitizers, liquids, mirrors, glass, etc.).

Please use the “Bag Stuffing” shipping labels provided by Freeman to ensure your items get properly delivered to the conference bag assembly area. You may download shipping and mailing labels for your boxes here. Send 1200 count of each item to the address listed in the Exhibitor Kit. Shipments must be received by Wednesday, September 13th. Please note shipments received on September 14th and Friday, September 15th will incur additional charges.
